Whenever you create a new marketing source, you will be able to choose who to notify whenever a new lead comes through. You can add unlimited email addresses for email notifications and up to 3 cell phone numbers for SMS/text notifications.
If you want to change these notification settings later, it's very easy to do and takes less than a minute. Follow the instructions below.
Step-by-Step Instructions for Updating Email Notifications
1. Go to the "Manage" tab of your PSAI admin
Log into PSAI and click on "Manage" from the left-hand toolbar. This will bring you to your Sources Manager page.
2. Click on the marketing source you want to update
Find the marketing source you want to update and click the "Edit" button. This will bring up the options for that marketing source, whether it's a quote form, a chatbot, or another type of source.
3. Add, edit, or delete email addresses
From the "Settings" tab (which shows up by default when you click into the marketing source), you can change the email addresses that are notified.
As shown above, the email addresses that are currently set for notifications will show up as little boxes underneath the email address field. From this same panel, you can:
- Click the X to remove any existing email address
- Add new email(s) to be notified by typing the address(es) in the field and clicking the plus sign (+) button
If you also want to change SMS notifications for this app, follow the same process on the "cell phone" field just below the email address section.
4. Save your changes
Once you've finished making your changes, scroll down to the bottom of the screen and click "Save."
Can I Update All of My Apps' Email Notifications at the Same Time?
No, each marketing source has its own notification settings and must be updated individually according to the instructions above. The reason for this is to give you more control over where exactly each lead submission goes.
For example, leads from a quote request form can be directed to an office manager or to sales, while chat engagements from existing customers can be instead directed to a customer support representative. By setting the email notifications for each marketing source individually, you can ensure that the right leads are put in front of the right people—automatically.
Of course, you can certainly set every marketing source to notify the same email addresses if you want to. This strategy may make sense for a smaller company where roles are very evenly shared. However, for larger teams or even for smaller teams that want a more optimized workflow, we recommend segmenting your email notifications to ensure faster response times, a more satisfactory customer experience, and thus a greater likelihood of leads converting to paying customers.
Even if you do need to update email addresses for multiple marketing sources, the entire process should only take a few minutes. Simply follow the instructions above for each marketing source that needs updating.
